Interview Questions and Answers for Data Analyst with Power BI – Gainwell Technologies

1. Tell me about yourself.
“I have 2 years of experience as a Data Analyst and hold a degree in [mention your qualification]. In my previous role, I worked on analyzing data sets, creating dashboards, and helping stakeholders make data-driven decisions. I enjoy working with tools like Power BI, Python, and SQL to find trends, solve business problems, and present data in a simple and meaningful way. I’m excited about this opportunity because Gainwell Technologies works on healthcare solutions, which aligns with my interest in meaningful impact through data.”

2. What is Power BI and how have you used it?
“Power BI is a business intelligence and data visualization tool developed by Microsoft. It helps convert raw data into interactive dashboards and meaningful reports. I’ve used Power BI to build reports for sales performance, operations, and customer data. I connect it with various data sources like Excel, SQL Server, and SharePoint. I also create visuals using bar charts, slicers, KPIs, and DAX formulas to help decision-makers understand the data better.”

3. Explain a project where you used data to solve a real problem.
“In my previous job, the sales team struggled to track monthly performance. I collected data from Excel sheets, cleaned and transformed it using Power Query, and built an interactive Power BI dashboard that showed sales by region, month, and product category. The dashboard helped them quickly identify underperforming areas and improved their decision-making speed. After implementation, the team could reduce reporting time by 60%.”

4. How do you handle large data sets or slow reports in Power BI?
“When working with large datasets, I try to reduce the size of the data by removing unnecessary columns and rows. I use measures instead of calculated columns when possible. I also make sure queries are optimized by using filters early in Power Query. If the report is still slow, I use Power BI’s performance analyzer to see which visuals are taking more time and optimize them by reducing visual complexity or limiting real-time refresh.”

5. What is your experience with SQL and how do you use it in your analysis?
“I use SQL regularly to extract and manipulate data from databases. I write queries to filter, join, group, and summarize data before visualizing it in tools like Power BI. For example, if I need sales data for the last 6 months, I write a query using SELECT, JOIN, and WHERE clauses to pull only the relevant information. It helps reduce load time and ensures only cleaned data is used for reporting.”

6. What kind of challenges have you faced while working with stakeholders?
“One common challenge is unclear requirements. Sometimes stakeholders don’t know exactly what they want or keep changing requirements. In such cases, I schedule quick meetings to understand their pain points, provide draft versions of dashboards early, and get feedback regularly. This helps keep the project on track and avoids last-minute surprises. I also ensure that my documentation is clear so that others can understand the work easily.”

7. What is DAX in Power BI and give an example of a formula you have used.
“DAX stands for Data Analysis Expressions. It is a formula language used in Power BI to perform calculations. I use DAX to create measures and calculated columns. For example, I used a DAX formula like Sales Growth = (SUM(CurrentYearSales) - SUM(PreviousYearSales)) / SUM(PreviousYearSales) to calculate year-over-year growth percentage in sales dashboards. DAX helps in doing complex calculations which can’t be done with simple visuals.”

8. How do you ensure data accuracy in your reports?
“To ensure data accuracy, I follow a process. First, I verify the source data with stakeholders. Then, I clean and validate the data in Excel or SQL before importing it into Power BI. I also double-check formulas and test dashboards with sample data to see if the numbers match the expected results. Regular peer reviews and testing help avoid errors before publishing the final report.”

9. Have you worked on automating any part of the data process?
“Yes, I have automated data refresh in Power BI by scheduling refreshes in Power BI Service. I also use Power Query for automating data cleaning steps like removing blanks, replacing values, or merging columns. In one project, I created a Power BI report that automatically pulled data from a shared folder every day, cleaned it, and updated the dashboard without manual effort. This saved several hours per week for the team.”
